Overview of the functions of the position

With generous funding from the Government of the Republic of Korea, UNESCO Amman Office will support the Government of Jordan to provide access to Syrian refugee and vulnerable Jordanian youth that are affected by the Syria Crisis with access to post-basic and higher education and training opportunities. The project will ensure that 250 Syrian refugee and vulnerable Jordanian youth (70% Syrian refugee, 50% Female) will participate in and complete diploma programmes at a public or private TVET institution in Jordan. This project aligns closely with UNESCO’s response strategy for the Syria Crisis in Jordan.

The Project Assistant will work under the direct supervision of the Project Officer responsible for overseeing the project, and under the overall authority of the Head of the UNESCO Amman Office /and the overall delegated authority of the Education Programme Specialist. The Project Assistant will be responsible to support the implementation of the project “Provision of TVET, On-the-Job Training, and Entrepreneurship Education to Youth Affected by the Syria Crisis in Jordan”.

The incumbent of the position will undertake the following responsibility:

1. Provide administrative and logistical support to the project team in the planning, implementation, monitoring and evaluation of the project. This entails the following tasks:

a. Facilitate coordination with Government counterparts (including, but not limited to, Ministry of Higher Education, the Ministry of Education, the Ministry of Planning and International Cooperation), implementing partners, consultants, UNESCO Headquarters, UNESCO Beirut Regional Bureau for Education in the Arab States, and other relevant counterparts and partners;

b. Prepare and process contracts and payments in a timely manner;

c. Carry out procurement procedures, including preparing request forms, obtaining quotations, and preparing purchase orders;

d. Coordinate official travel of the Education Programme Specialist and the project team, including timely submission and follow up on Travel Authorizations, follow up on UNDSS security clearances, transportation arrangements, flight reservations, accommodation, and travel claims;

e. Assist in the organization of meetings, workshops, seminars, launch ceremonies, and other project-related events;

f. Draft routine correspondence, letters, reports, as well as documents related to administrative matters;

g. Provide support in interpretation and translate documents from English into Arabic and Arabic to English as required;

h. Ensure record keeping and maintenance of all relevant correspondence, and;

i. Develop, maintain, and update database for files and records related to the project and other projects and programmes of the Education Unit.

2. Ensure that gender equality in education is mainstreamed into all project activities.

a. Liaise with the UNESCO Section of Education for Inclusion and Gender Equality and the Head of the Gender Division of the Ministry of Education as needed in regard to promoting gender equality in education and women and girls’ education, and;

b. Oversee the translation, finalization, layout, design, printing, and dissemination of gender-related project reports and publications.

3. Undertake any other tasks assigned by the Head of Office, Education Programme Specialist, and Project Officers.

Required qualifications

Education

· Completion of secondary, technical or vocational education in education, social sciences, interdisciplinary studies or a related field;

· University Degree would be an advantage.

Work Experience

· Eight to Ten years of work experience in a similar function;

· Previous experience in working in the UN system, an international organization, or a non-governmental organization is an advantage.

Skills and competencies

· Excellent verbal communication and writing skills in English;

· Demonstrated proficiency in basic office software tools (MS Office suite) and use of relevant IT solutions;

· Strong organizational and prioritization skills;

· Ability to work independently with minimal supervision;

· Ability to work efficiently under pressure and in a multicultural environment.

Languages

· Fluency in English and Arabic is required;

· Knowledge of French is an advantage.

Benefits and entitlements

The candidate shall be offered a Service Contract with a net salary of approximately JOD 15,331.8 per annual (social security included);

The initial contract will be for a probationary period of 3 months renewable subject to satisfactory service; and contingent on the availability of funding;

Other benefits include 2.5 days per month annual leave.
